Title: You’re Approved! – {{PROPERTY ADDRESS}} Lease
Congratulations, you’ve been approved for the lease at {{PROPERTY ADDRESS}}! We’ll work on drafting the lease document and send to you via DocuSign.com for electronic signatures ASAP.
Regarding funds, we’ll need ${{RENT}} for the first month’s rent made out to {{LANDLORD NAMES}}, and ${{DEPOSIT MINUS 500}} for the security deposit and $500 for the nonrefundable cleaning fee (this is in lieu of requiring you to have the property professionally cleaned upon move-out, the property will just need to be empty and free of any trash/debris). Please have the security deposit and cleaning fee made out to ‘Bramlett Residential’, you can consolidate those into one check.
We need all payments in certified check or money order, we can’t take personal checks. Could you please drop these off to our office at 5025 Burnet Rd #201, 78756 by EOD {{DAY}}? It’ll be best if you leave them labeled in an envelope on the front desk. If no one is at the office at that time, you can leave them in the secure black drop box to the right of the door outside. Once the lease is signed, we’ll make arrangements to hand keys off to you.

Sending for Signatures on DocuSign
  • Load the lease document into DocuSign.com & set all tenants to receive the document. CC yourself to receive after all have signed. Do not set landlords up yet, only tenants.
  • Set ‘Initial’ tags for each tenant at the bottom section of every page of the lease where the initial fields are.
  • Section 34F. Set up fields for one tenant to fill out the info here.
  • Set up signature tags & date signed tags on the signatures fields on the last page for the tenants.
  • Confirm all tenants have initials set up for every page, then click send.
  • Once tenants have signed. reload the document into DocuSign.com, and set landlord(s) to receive the document. CC yourself to receive after all have signed.
  • Set ‘Initial’ tags for each landlord at the bottom section of every page of the lease where the initial fields are.
  • 5C: Set up text fields for landlord to fill out this section.
  • 18A: Set up a text field for landlord to fill in phone number.
  • Set up signature tags & date signed tags on the signatures fields on the last page for the landlords.

 

Writing a Lease

  • Log in to ZipForm: https://www.zipformplus.com/#
  • Find the project titled ‘Standard Lease’ and open the document ‘Residential Lease – 1/1/16’. The document will have most of the standard terms already typed in, but may have been changed for a previous lease. The terms will need to be double checked and tailored to the property for which you’re writing this lease. The standard terms are below.
  • Parts 1, 2, 3 are self explanatory.
  • Par 4 = Check box A.1 & B.2
  • 5.A = Rental amount and the date of the first FULL month’s rent. Select all boxes except personal check. Landlord may charge a reasonable fee to process or accept payment for all forms of payment excluding personal check.
  • check box 5.A.1.
  • 5.B = Prorated amount if applicable
  • 5.C = Leave blank, will be filled in by landlord via DocuSign.
  • 5.D.3 = Check all except “personal check”
  • 5.D.4 = Check “requires”
  • 6.A = 3rd
  • 6.A.1 = Check box “a” and in the blank, type 50.00
  • 6.A.2 = 25.00
  • 7 = $100
  • 9.B.2 = $1000 & $100
  • 10.A = One month’s rent less $500 (due to the $500 cleaning fee). Check “cashier’s check,” “electronic payment,” “money order,” and “other means acceptable.” (NO TO PERSONAL CHECK.)
  • 11A = N/A – unless owner pays HOA dues for a condo that include water, trash, etc. In that circumstance, write “Owner pays HOA and any utilities included with HOA”
  • 12.A = Any children that will be living on the property.
  • 12.E = 10
  • 13 = 2
  • 14.C = $100
  • 14.D.1 = 30
  • 14.D.2 =  One month’s rent
  • 15.A = N/A
  • 15.B = 3 days
  • 17.B.3 = Either “Sufficient to maintain a healthy yard” or “N/A” if it is included with HOA, or if there is no yard.
  • 17.B.3.(b) = Check box “Tenant, at Tenant’s expense, will maintain the yard.”
  • 17.F = Not permitted
  • 18 = Landlord will fill this in via DocuSign.
  • 18.D.2.(f) = N/A
  • 26 = “
  • Special Provisions: “Tenants must purchase and maintain renter’s insurance. At landlord’s discretion, landlord may charge tenant first $100 of any repair. Tenant will pay an additional $500 non-refundable cleaning fee prior to move in. During last 30 days of lease, property will be shown to prospective tenants by Texas real estate agents. Agents will contact tenant with 1 hour notice to show property. If tenant does not respond to agents, agents will show property at the time specified.

Note: If an agent or applicant asks why $500 of the deposit is nonrefundable, explain that this is in lieu of requiring the tenants to have carpets steamed and property professionally deep cleaned. Property will still need to be ‘broom clean’, as in no trash or significant debris left behind.

  • 28.B.4 = 150% & 150%
  • Addenda & Exhibits – Check the “lead-based paint” if the property was built <1978. Fill out the “Pool/Spa Maintenance Agreement” if there’s a pool. Check “Pet agreement” if there will be pets. Check “Owner’s association rules” is it is a condo with HOA.
  • 34.I = Bramlett Residential will not act as property manager (unless it is Treaty Oak Properties)
